Student Email Notice: Refunds for duplex lab printing

Subject: Print refunds for black and white Owlnet printing (duplex only)

Dear students,

It was brought to our attention by the Thresher that there could be an issue with print charges around duplex (double-sided) printing in black ink. Upon investigation, we did indeed find that the settings for the billing of duplex printing had been improperly set for the 2017 fall semester. The incorrect charge applies only to Office of Information (OIT)-supported printers (sometimes referred to as Owlnet printers). We apologize for this oversight in our billing process and have taken the following actions:

  1. On Feb. 2 we corrected the billing settings on the duplex printers and are now correctly charging 7 cents for double-sided (duplex) print jobs in black ink.
  2. We will refund the overcharges to each student for duplex printing from July 1, 2017, to Feb. 2, 2018. We will submit the refunds to the Cashier’s Office on February 14th.
  3. We have updated our KnowledgeBase to clearly reflect what the charges should be for each printer. The article is at https://kb.rice.edu/page.php?id=71577.
  4. We have implemented a process to check settings to proactively detect issues if any were to arise.

Moving forward, if you suspect a billing error like this, please report it to the Help Desk at #4357 or at helpdesk@rice.edu so we may resolve the issue as soon as possible.

Again, we apologize for the inconvenience and we thank the Thresher for alerting us about the billing error. We hope you will continue to use our Owlnet printers and take advantage of the special rate for duplex printing in black ink that is intended to save you money and use less paper, which also benefits the environment.

The program is both professionally and academically beneficial.

Internship Goals

• Further develop data science skills and expertise.

• Gain knowledge of technology stacks behind successful web projects and how to choose a technology stack for web application development.

• Explore career opportunities – participants can gain insights into the daily operations inside OIT and hands-on

• Currently pursuing a degree in Computer Science or related area of study.

• Strong problem solving skills with the ability to analyze and interpret data.

The Gardiner Symonds Digital Teaching Center 2 in Duncan Hall (above) was renovated this summer and technology upgrades were also completed in Herzstein amphitheater, McMurtry Auditorium in Duncan Hall, Rayzor Hall, and 76 classroom touch panels were replaced. The Office of the Registrar handles the scheduling requests of all these teaching facilities. For customized assistance with classrooms, email oit-learn@rice.edu.

Software

Rice has site licensed a variety of software programs for use on university-owned computers and in some cases individually-owned computers.  Of particular note, a new agreement with MathWorks, Matlab is now available to faculty, staff, and students for use on personally-owned machines. Also, Adobe Creative Cloud can be installed on university-owned computers. For a complete list, see Software Available for Faculty and Staff or Software Available for Students.

Grant Projections Reporting

Over the past year, OIT collaborated with the Research Administration Advisory Group (RAAG), Principal Investigators (PIs) and several research administrators across multiple divisions in developing a monthly Grant Projection Report. Starting July 2017, after a brief pilot period, reports are being distributed to PIs campus wide providing a monthly financial status of their sponsored projects. These reports are designed to provide PIs and their administrators a view of actual expenditures and the ability to project future expenditure activity on their projects.

After month end close, individual PIs will receive a single PDF, via email, containing all of their R-fund reports. In addition, an introductory/assumptions page detailing the functions of the report, and a short fund/personnel summary page is included at the beginning of the report. A link is provided for PIs to download an editable Excel version of their reports via Rice Box; the Excel version of the reports contains formulas, so PIs/administrators will have the ability to enter their own “what ifs” for a more in-depth report.  PIs can request that administrators with appropriate fund and org privileges be granted access to the Rice Box reports by contacting helpdesk@rice.edu.

Mudd Plotters and Color Printer

OIT has made some changes to the Mudd Lab Operation Center hours this semester.  New hours are:

•        Monday – Friday: 8:00 a.m. – 7:00 p.m.
•        Saturday and Sunday: 7:00 a.m. – 11:00 a.m.

The plotters and the color laser printer in Mudd Lab are located in the Operations Center. These printers are attended by OIT staff, who place printouts outside the Operations Center window in the Mudd Lab lobby when they are on duty.  You can access the lobby anytime to pick up your printouts although you will need to use your Rice ID after the building is locked. Please note that there is no access to new printouts when the Operations Center is closed.

The Architecture charrettes will continue to be staffed as they have in the past with extended hours. Your comments to helpdesk@rice.edu will help us evaluate these schedule changes.

CrashPlan: Backing Up Your Rice Computer

If you store data or files locally on your computer (laptop or desktop), it is highly recommended that you back up those files to protect against hardware malfunctions, accidental deletions/overwrites, or any other mishap. CrashPlan is an automatic, tamper-proof backup solution designed to back up laptop and desktop data and allows you to restore files from different points in time and from any networked computer.  CrashPlan is simple to use, highly efficient, and very secure. Many faculty and staff find the automatic back ups CrashPlan offers more convenient and effective than having to manually duplicate files to campus storage solutions. The annual cost of the service is around $80 per year and is payable with a Rice fund and org code. CrashPlan works with Windows, Apple, and Linux operating systems but can only be installed on Rice-owned computers. Mobile devices can’t be backed up but they can be used to restore files or to manage your backups. To learn more, you can search for “crashplan” on https://kb.rice.edu. New Telephone System

As previously announced, the campus telephone system migration has begun.  Occupants of the new Cambridge Office Building are the most recent campus users to move to the new Cisco VoIP (voice over Internet protocol) system. While the Cambridge Office Building is not the first campus building to migrate to the new system (OIT’s Mudd Building migrated two months ago, followed by extensive testing), the users in the new Cambridge Office Building are the first ‘non-OIT’ users to migrate to the new telephone system. The Cisco VoIP system is being initially rolled out as a ‘like for like’ replacement to the Nortel system, with additional features and functionalities to be added in the future. Migrations to the new system will continue every month, building by building, to completion in late 2018. If there are any questions, contact the OIT Help Desk at helpdesk@rice.edu.

Canvas Update

Starting this semester, all academic courses are on Canvas. Materials migrated from Owl-Space to Canvas were only course materials, no student data was moved over.  Owl-Space will continue to be available for archival access to old student data (either directly or by request). Owl-Space project and collaboration sites are not affected at this time. Their migration off Owl-Space to other solutions will be in phrase 2 of the project.

Update on WiFi Issues

OIT would like to apologize for the networking issues many students have experienced this fall, especially around wireless connectivity. We are aware of student problems getting and staying connected to the Rice wireless networks (Rice Owls, Rice Visitor, and Eduroam) and are working hard to correct them. We have been focusing extensively on these problems and have taken a number of corrective actions and have additional improvements planned. We would like to thank all the students who are helping us find solutions by reporting any wireless issues via email (location, time, issue) to the OIT Help Desk (helpdesk@rice.edu). Your reports help us pinpoint problems and determine additional technical solutions. OIT will be scheduling evening events in college commons so students can ask questions and have their laptops checked for optimizing wireless connectivity. Your college OIT Ambassador will send you an event notice.

Below are some of the technical details related to our ongoing efforts.

At the end of September, we:

1. Upgraded the operating system for the wireless network components.
2. Made significant configuration changes to improve the system performance so that radio channel and power levels are better managed in an automated fashion.
3. Modified the operating parameters for the radios so that the 5Ghz frequency band is preferred over the 2.4 Ghz frequency band preferred by client devices.

On October 21, we implemented a second change to address a significant problem with the system that distributed IP addresses to client systems connecting to the wireless network. This should greatly improve clients’ ability to connect and stay connected.

In addition, we have a machine-learning system that is analyzing the performance of every single device that connects to the wireless network.  This is helping us diagnose and repair client issues much more quickly.

We have also started planning for the RiceNet Wireless Refresh project. Ultimately, this will allow OIT to replace all of the older wireless equipment with next-generation hardware that can better manage the RF spectrum and can provide a much better overall experience for all client devices. We will be enlisting the help of our OIT College Ambassadors to better inform our decisions.

VPN: Off-campus Access to Rice Only Resources

To access the Rice network when not on campus, use the Virtual Private Network or VPN. Once you download the VPN client software, you can login with your NetID and access private Rice resources, like Fondren journals. Learn more by searching for “vpn” on https://kb.rice.edu.

Information Security Training

Due to the increase in cyber attacks on Rice resources, the university is requiring information technology security awareness training for all faculty and staff with a completion goal of March 31. The training is delivered through video modules and available in multiple languages with accessibility support and will require approximately 30 minutes to complete. You can take the training on or off campus. You can stop the training at any point and continue at a later time without losing your place. To get started, login with your NetID and password to the Canvas Catalog Portal at https://catalog.rice.edu. Thank you for your help in keeping campus safer.

Advisory: Before you buy a Dell

Dell has started shipping a new line of computers with new Intel processors.  One of the new processors is not fully compatible with the Rice environment.  Prior to purchasing a new Dell computer, contact the OIT Help Desk at 713-348-4357 or helpdesk@rice.edu for a consultation.

OIT has new source of information at https://kb.rice.edu.  KnowledgeBase, or KB for short, is an easy-to-search source of instructions about the services and tools supported by OIT. Your feedback and ideas for new documents are welcomed.

 

 

 

Leaving Rice?

Graduating graduate students, if you haven’t already, set up your alumni email address and begin using it on your applications, resume, and RiceLink profile.  Your NetID email account through Google will be deactivated in the fall.

Rice employees that leave the university will also lose their Rice mail address, except for retirees, who can keep their address but must forward their email to another account.

Also before you go, take a quick inventory of your Google Drive or Rice Box files that you shared with others. Any Google docs that you have created will be deleted and items that you have shared are no longer accessible by others. Consider this if you’ve got documents in the Google Drive cloud such as research for a faculty member, files shared with others in your department, or perhaps with a collaborative group across campus. If you created the document and your account is deleted, no one can view it. Get others who will have future needs to access your documents to make copies. You can learn how to save your Google Drive documents in the KB or KnowledgeBase (see above).

Did you know that AWS has resources available to faculty for free? Faculty members can receive $200 of free credits each year and students can receive $100 in free credits each year. Banner Upgrade Plans and Browser Issues

Upgrade Plans
Ellucian Banner is the system that supports the university’s student, financial and HR processes. Most of us interact with Banner via the web portal Esther and some have access to the web reporting application Edgar. The current version of Banner 8 we use will be not be supported after December 2018. A new version of Banner was released in December 2016 and introduces a fundamental and major change in the technical architecture of Banner. The upgrade will also bring a new user interface to the system and new versions of modules such as course registration and grade entry.

Phase 1: The first major change associated with the implementation of the new system will be seen in the core functional offices that use Oracle forms to access and interact with the system. These include the Controller, Human Resources, Registrar, and Financial Aid offices.

Phase 2: The second major set of changes to the system will involve the Esther and Edgar systems, which rely on the Oracle technologies that will be no longer supported by Oracle. Work will begin summer 2017.

OIT’s Administrative and Enterprise Systems and Services technical staff are currently configuring the infrastructure for the new version. Testing with user communities will be organized and scheduled based on readiness of the software packages delivered by Ellucian.

Browser Issues
If you work directly with Banner, beware of Browser compatibility issues with the current Banner system. Chrome has already dropped its support and sometime in March, Firefox will drop the plugin required for you to connect to the system. Firefox version 51 is the last release to support the plugin. New version 52 will not support it. Browser support will continue with Internet Explorer 11 and Firefox extended release versions (known as ESR). Internet Explorer is available for PCs. Firefox ESR is available for PCs and Macs. Safari currently still works with Banner but its future as a supported browser is uncertain at this time. Note that the browser plugin issues do not affect the Esther or Edgar systems or the upgraded version of Banner.

Canvas Update

This spring semester over 500 courses with a total of over 5000 students are using Canvas, Rice’s new Learning Management System. By the start of fall 2017, all academic courses will be on Canvas.

Faculty are being encouraged to request OIT to convert their OWL-Space courses to Canvas by completing the online migration request form. The migration of materials from Owl-Space to canvas is only course materials, no student data is being moved over.  Owl-Space will continue to be available for archival access to old student data (either directly or by request).  The migrated materials are meant to be a starting point for using Canvas for future courses. If instructors are interested in learning more about Canvas, workshops are offered throughout the semester or for informal drop-in support, check out Canvas Happy Hours on select Fridays from 2 – 4 pm in Brochstein Pavilion.

Project and collaboration sites are not affected at this time. Their migration off OwlSpace to other solutions will be in phase 2 of the project.

What is OwlConnect?

The OwlConnect project was launched this past September in order to develop a comprehensive advancement system that will meet the needs of Development and Alumni Relations as well as its partners in academic and other departments across campus. The executive sponsors of this project are Darrow Zeidenstein, Vice President for Development and Alumni Relations, Klara Jelinkova, Vice President for Information Technology and Chief Information Officer, and Provost Marie Lynn Miranda.  OwlConnect will:

  • Maximize coordinated opportunities for Rice constituents to make a difference through their engagement and philanthropy
  • Capture data and information on all constituents and their activities, including giving, volunteering, and most touch points with Rice University
  • Reflect Rice University’s core values of responsibility, integrity, community and excellence
  • Facilitate strategic planning through powerful system capabilities

Throughout 2017, OwlConnect will be designed and built on the Blackbaud CRM product, with go-live planned for spring 2018. When delivered, OwlConnect will replace three existing advancement systems – Millennium, Flatbridge (Jones School), and Salesforce (Baker Institute). The new integrated solution will interface with other campus applications, such as Banner, and deploy a new web front-end for online communication, giving, and marketing. New Telephone System

A new communications system that uses Voice-over Internet Protocol (VoIP) will be phased in across campus to replace Rice’s current Nortel telephone system. This new technology uses the same data networking that provides campus Internet connections and will have new features such as instant messaging, directory lookup, and an advanced system for forwarding calls. Testing for the migration will begin this spring, and a summer pilot migration is planned for the Mudd Building. During August, the new system will be implemented in the new administrative building south of Allen Center. Migration across campus will be building by building with OIT staff meeting with the department administrators in advance. Read more in the Rice News.

Rice Email Address and Google Drive Ends

Seniors, if you haven’t already, set up your alumni account and begin using it on your applications, resume, and RiceLink profile.  Your NetID email account through Google will be deactivated in the fall.

Also, any Google docs that you have created will be deleted and items that you have shared will no longer be accessible by others once your NetID is deactivated. Consider this if you’ve got documents in the Google Drive cloud for a class project, your campus job, research for a faculty member, or for a student organization or college.  If you created a document and your account is deleted, no one will be able to view it. Take a quick inventory and get others who will have future needs to use your documents to make a copy. You can learn how to save your Google Drive documents in the KB or KnowledgeBase (see below).

Beware of Spear Phishing

Excerpt from the 2015-2016 OIT Annual Report

It seemed like an ordinary request: A Rice employee got an email from a  colleague asking for university bank account numbers. Fortunately, rather than simply hit reply, the employee picked up the phone—and that’s when the jig was up.

The email was a convincing spear-phishing attack targeted at stealing financial information.

“What made the email look so convincing was that it appeared to come from someone the victim knew and someone from whom the request would seem normal,” said Marc Scarborough, chief information security officer for Rice’s Office of Information Technology. “The attacker in this case actually took the time to learn Rice’s reporting structure and crafted a targeted email message to a single person.”

The “From” address on an email is easily forged. It’s essentially the same as a return address on a postal envelope. People generally write an accurate return address, but anything can be written there. That’s true for emails as well. And it’s even harder to detect a forged “From” address on a mobile device since less information is shown on smaller screens.

“We should be aware that not all emails we receive are from whom they say they are,” Scarborough said. “If an email requesting information appears unusual, even if it appears to be coming from someone you know, take the time to investigate. Call the person who supposedly sent the message. Find out if they really did request the information before you send it, whether it’s baking information or any other type of private information—account information, student information, or general information about your department’s operations.

“Not all phishing emails are the same. Some are more than the poorly worded emails asking for our passwords that we’re used to. Attackers are getting much better at learning about us to make their attacks more successful.”21196724

Don’t take the bait:

  • If you’re at all suspicious about an email, it’s probably a scam. No one at Rice will ever ask you to verify your NetID account or ask for your password, ID number, credit card information or other personal details by email.
  • If you fall for a phasing message, Immediately contact the Help Desk at helpdesk@rice.edu or 713-348-HELP (4357) to reset your password.

Canvas Update

This fall about 250 courses and almost 4,000 students are using Canvas, Rice’s new Learning Management System. The goal is for all courses to use Canvas by the start of the fall 2017 semester.

If you would like OIT to convert your OWL-Space courses to Canvas by the spring 2017 semester, complete the online migration request form by December 9. Use the same form if you want an early start on your fall 2017 courses as well.

Interested in learning more about Canvas?  OIT is offering a number of workshops over the next few months or for informal drop-in support, check out Canvas Happy Hours on select Fridays from 2 – 4 pm in Brochstein Pavilion.

Advisory: MacOS Sierra

OIT recommends not upgrading to Apple’s latest version of the Macintosh operating system, Sierra, at this time. OIT has identified some compatibility issues with certain software packages running under macOS Sierra 10.12. For a list of known compatibility issues, visit the OIT Knowledgebase page on macOS Sierra. If you have any additional questions, consult with your Division Representative by opening a Help Desk ticket or calling the OIT Help Desk at 713-348-4357.

Campus Wired Network Upgrade Almost Complete

The wired network deployment of RiceNet3 project will be complete before Thanksgiving recess. The new equipment has been installed into every building, and all client computers are connected. The last few changes to building uplinks from RiceNet2 to RiceNet3 are currently underway.

This network refresh consists of higher bandwidth, more support for network-powered devices, and a complete backup power system for the entire network. Additionally, RiceNet3 also provides a framework for the deployment of new and more advanced services such as a more secure network logon, significant improvements in the detection and prevention of security threats, and more effective management and monitoring. Upon completion, the wired network will also provide a foundation for initiation and deployment of Rice’s next generation wireless network platform.

Improvements to Technology Support of Administrative Functions

This fall OIT has been implementing and improving technology solutions that support Rice’s business processes. Recent projects include:

DegreeWorks Upgrade – New key features includes a web interface for scripting degree requirements and the ability to extend degree requirements to other campus websites.
Acquia Web Deployment – Campus websites continue to migrate to the Acquia cloud platform for the Drupal content management system. A major enhancement was the integration with Rice directory information.
PTO (Paid Time Off) Application – Working with HR to develop a benefit time tracking and reporting system that allows employees to enter benefit time taken for the month and submit it to their supervisor for approval. The application is a part of the Esther system and is currently being deployed to campus.
UG Application for Degree – The annual update to the Undergraduate Application for Degree went live August 1 that allows graduating seniors to make their application for degree through Esther.
Visitor Project Phase 3 – The third phase of the Visitor Tracking System went live this fall. The Visitor Tracking System facilitates the registration and approval of visitors to the Rice campus and their access to use Rice resources.
FARIS – Set up the new Faculty and Researcher Information System (FARIS), which is replacing FIS as the system that tenured and tenure-track faculty use to submit their Faculty Annual Reports.
